1. How to close a case in LawToolBox

To close a matter in LawToolBox click on the matter name that you would like to close.

Next click on the action menu 

> Close Matter

This will then close the matter LawToolBox and can be reopened at any time. This will not close the Office 365 group.

2. Closing an Office 365 group

There are three options when wanting to get rid of an office 365 group created in LawToolBox.

  1. Deleting the group – This action will remove all associated files with the matter and remove this from SharePoint and teams. This is best done if the matter was created incorrectly and need to be re-done.
  2. Hiding the group from teams – This action will not delete the group but will make it so that the group does not show up in your teams. This is best done when you no longer want to see any of the information associated with your matter but may want to re-open the matter later. This will also still allow users to create and edit files in SharePoint with the associated case.
  3. Archiving the group –This action will not delete the group but will make it so that the group does not show up in your teams. The difference between hiding the group in teams and Archiving is that you can keep users from making any changes to any of the files that are saved to the matter SharePoint. This is best done for cases that you do not believe will need to be reopened but still would like the ability to do so and would like to make sure all files are no longer editable till the matter is reopened.

3. Deleting the Group for O365

To delete an Office 365 group, go to your outlook and on the left navigation pane click the down arrow next to groups towards the bottom.


Select the group that you would like to delete.

Next towards the top of your screen click on Group Settings > Edit Group


In the bottom left-hand corner, you will see the option to delete the Office 365 group.

4. Hiding an Office 365 group in Teams

To hide a group in teams, open your team’s application and click teams on the left-hand side.


Select the team that you wish to hide and click on the 3 dots on the right-hand side and then select hide. You will no longer see this group in your teams.


If you wish to view hidden teams, scroll down to the very bottom of teams, and expand the option of Hidden Teams.

You will then see all of the groups that you have hidden and can perform the same steps as above to restore the group to your teams list.



Archiving groups.

5. Archive a Team

  1. Select Teams on the left to see the list of your teams.
  2. At the bottom of the list, select the gear icon.

  3. In the Active list, find the name of the team you want to archive, then select More options > Archive team
  4. To prevent people from editing the content in the SharePoint site and Wiki tab associated with the team, select Make the SharePoint site read-only for team members. (Teams owners will still be able to edit this content.)

To view and search through the content of the archived team, click its name in the Archived list. Or, make it a favorite if you think you’ll refer to it often (in the list, select the team, then More options More options button> Favorite).

All of the team activity is frozen once the team is archived. No one will be able to start new conversations or reply to posts in a channel, add or remove channels, edit team settings, or add apps. As a team owner, you’ll still be able to add or remove members, update roles, and delete, renew, or restore an archived team.

6. Restore a Team

To restore an archived team, follow steps 1 and 2 above. Then, in the Archived list, find the name of the team you want to archive, and select More options > Restore team.

7. Renaming a case in LawToolBox

  1. In LawToolBox select the matter that you wish to rename and go to the action menu.
  2. In the Action Menu select Matter Dashboard. 


  3. From matter dashboard click on "edit matter info".               

  4. You can then edit all information regarding the matter.


*Notes: Renaming a matter does not rename the Office 365 group that is create or the SharePoint site. This means that if you create a team or SharePoint site, the name will stay the same. And will need to manually be renamed.

8. Renaming a Team

  1. Go to the team name and click More options More options button> Manage team.

9. Change team name, description, and privacy setting

Go to the Team name and click More options > Edit team. From there, you can set the Team name, description, and privacy settings.

10. Renaming a SharePoint Site

  1. Go to your SharePoint team or communication site.
  2. In the top right corner, click Settings and then click Site settings.

  1. In the Look and Feel section, select Title, description, and logo.

  1. If applicable, change the site title and description in the corresponding fields.
  2. If applicable, to change the logo, in the Insert Logo section select From Computer.
  3. Click Browse and select the new logo, click Open and then Save.

  1. If applicable, type a description in the Version Comments field, and then click OK.
  2. (Optional) Enter a description for alternative text for the logo, and then click OK.

11. If you do not have Teams and would like to rename the Office 365 group.

You must be a O365 Admin to do this.

You can log into Office 365 Admin Center > Groups. Click on the group you want > Edit. Rename the group and then click save.

Setting up a matter with the same name but different rules.

Since you can not setup a matter with the same name you will need to create a slightly different name for this matter by adding a . or adding the rules you are selecting to the name.
