You can follow the steps below to add a new user to LawToolBox.

How to add a new user:

Navigate to admin.lawtoolbox.com > Users > Manage Users

Note: Verify you have available licenses or send your IT Admin to request to add more as needed



LawToolBox Admin Steps

  1. Add User 
    • Add users manually or search by their email (UPN - User Principal Name)
    • Add required details
  2. Manage user preferences via toggles and action menu 
    • State, time zone, view & edit rights, reminders, admin rights, etc.
  3. Manage user permissions 
    • Click on the name to change view and edit rights
  4. Share FAQ - New User Quick Start Guide with your new user
  5. Get the add-in for the user

IT Admin Steps

  • IT Admin Verify Mail flow rules are enabled in the Exchange admin

1. Add New User

+Add Users

Select one of the two options:


Which option should you pick?

  • Preferred: Search & Add User
  • Search by email


Option 1: (Preferred)


Search & Add User

User Principal Name (UPN)

Enter UPN to autofill all email info (SMTP & UPN)


Option 2: 


Add User Manually

Add User Manually > Enter user details:


Notes:
1. Requires Enterprise Permissions
M365 Admin - Deployment: Application Permissions

2. You need to update the user Time Zone and state preferences under "Actions" See below

1. Check the box at the bottom to send a notification the user has been added

2. Check the "Audit" to make sure there are no typos

2. Manage User Preferences


Actions: User Details

Click "actions" to edit or make changes

  • Time Zone preference for appointments
  • State preference - ruleset selection for new matters
  • Phone Number and Address (optional)


Toggles:

  • On - "Editor rights" or disable to restrict to "view" only user (e.g. attorney)
  • On - "Admin Access" to grant admin.lawtoolbox.com access
  • Off - "Private User" hide data from firm-wide reports
  • On - "Email Reminder"  7-day email reminders
  • Off - "Teams reminder"  user grant permission to enable

3. User Edit Permissions

  • Click on the "Editor rights" toggle to disable the user from many any changes
    • Attorney User = editor rights OFF
    • Staff User = editor rights ON
  • Optional: Click on the user name to customize individual permissions > Read related article

4. Audit Users:


This feature allows you to audit users you have added to make sure their emails are input correctly.

  • Recommend verifying if using Option 2: Manually add


If a user gets marked as invalid in your audit, follow these steps to update it

  • Actions > Check UPN > Update 
  • or Edit > Update

5. Get Add-in for Outlook:

A new user can always access LawToolBox via app.lawtoolbox.com 


To get the add-in please check with your M365 global admin to see if those get auto-added through a Unified Group (e.g. group with all the users), or ask your new user to click "Get Add-ins" inside Outlook and add LawToolBox


To get the add-in please check with your M365 global admin:


1. IT can deploy the add-in in admin.microsoft.com

  • Add new people to the LTB Users Security Group  
  • Centrally deployed firm-wide
